Document Management System Development
Progressing
As mentioned in the December news
release, UDS continues to design a new document management add-on system.
What will document management do for your company? Have instant access
from your computer to pertinent documents dealing with your property
transactions (i.e. listing agreement, homeowner disclosure, termite letter,
sales contract, contingency letters, etc.). Also, on an accounting level,
be able to scan vendor invoices upon entry into the system and then have the
vendor checks match to the invoices when they are paid. All this
documentation (invoice and check) will be instantly available with the click of
the mouse. Sound exciting? Stay tuned!
Did you know you can do some document
management now?
Tired of printing reports, using
a 3 hole punch to place holes in the paper, stapling the report together, and
finally having to file the report in the appropriate binder? Running out of
office space to store all this? Ready to save money on printing (i.e.
paper cost, printer toner, etc.)? Start using the Export feature found in the
UDS spool utility (shown highlighted below) to store the report electronically.

To use the Export button, simply
highlight the report you wish to electronically store. The Export dialogue
box is displayed.

Click on the
Export to PDF
Format button. The system will display the report on the screen.

Click on Show In Acrobat.
NOTE:
To use this
feature, you must have Adobe Acrobat installed on your workstation. If you
do not have Acrobat, use the following link to download and install.
http://www.adobe.com/
The software download is shown on the home page.
The system will launch Acrobat
and display the report in PDF format.

To save the report, click on
File -> Save a Copy. The Save In dialogue box will appear.
Simply save the report using a document name and file folder of your choosing.
The directory organization of your "UDS Report Folder" is up to you!

IMPORTANT REMINDERS:
As mentioned on our March 2005 news page, previous to this version, UDS has
operated on a screen resolution of 640 x 480. Due to the expansion of some
screens within the system for version 2.01, the recommended screen resolution
will be a minimum 800 X 600 and 1024 x 768 as the best resolution. If you
have monitors that do not allow these resolution,
UDS will still work but it will be less convenient to use since the user will
have to use a scroll bar to move the screen around instead of being able to see
the entire screen at one time.
If you are still using any of the
old DOS looking screen programs in Version 1.07a or below, these programs will not available with this release. You need to be weaning
yourself off these programs before this version is installed.

Crest.EDG Phase 2 update
UDS has completed the Crest.EDG
Phase 2 interface and testing has been completed and approved by Realogy Q&A.
UDS is presently working with a test client to install the new software and to
test the interface in a working environment. Once this testing has been
completed, UDS will be contacting other Coldwell Banker clients to implement
this time saving interface. We will continue to keep you
updated on this matter as it develops.
