UDS Document Management System Released!!

It is with great excitement that UDS announces the release of the Document Management add-on application to the Back Office System.  How does this improve the efficiency of your real estate office?

  • Transaction documents (i.e. listing, selling and closing) are scanned and immediately stored electronically and can be easily accessed by your staff within the Back Office System.  The documents are also available to your agents 24/7 via the DocMan web site.

  • Accounting personnel can review all documents when the file is closed in the Back Office System to ensure that all the vital paperwork is present.  If not, the closing can be suspended until all the necessary documents have been submitted to the accounting department by the appropriate personnel.

  • Documents can be easily e-mailed to necessary parties (i.e. buyer, seller, closing attorney, title company, etc.) quickly without having to locate them within a stack of file folders.

  • No more searching through the catacombs of the office attic looking for old transaction paperwork.

Features:

  • New documents can be acquired/scanned using any TWAIN compatible scanner.

  • Documents previously stored can be located using the browse button shown to the right of the Acquire button.

  • Document descriptions are determined by the user upon input and will be displayed to the agent when they access the files from the DocMan web-site.

  • Documents can only be viewed on-line by the listing and/or selling agents involved with the transaction.  Certain documents can be set to "private" where only the agent specified can view the document.

  • Office personnel can view any document shown by double clicking on the document location path shown on the screen.  The document will be shown in Adobe Reader as seen below.

While in Adobe Reader, documents can be e-mailed to interested parties when needed.

MLS Interface Now Available

As mentioned on our previous news page, UDS has completed its MLS Data Bridge to the Back Office System.  Save time, money and resources by letting UDS do all the work.  All that is required by your staff is the entering of transaction data into your local MLS system.  From that point forward, UDS is in the drivers seat!  UDS retrieves all necessary data from your local MLS system, populates the Back Office System with all the required system information (including property images) then forwards applicable data to your corporate brand franchise reporting system.  That's it.  No more triple entry to satisfy all three databases utilized by your firm. No more data inconsistencies between software programs. XML Data Interface for Crest.EDG Available for Realogy Franchises!

The Data Bridge between the UDS Back Office system and the Crest.EDG system has been approved by Realogy.  What does this mean to our Realogy franchise users?  Up to this point you have been required to enter transaction data separately into the UDS Back Office System and also into the CREST.EDG system.  Utilizing the Data Bridge eliminates the step of re-entering the data in the CREST.EDG system.  Once the data has been entered into UDS then the system will forward the necessary information to satisfy CREST.EDG.  To schedule a time to implement the Data Bridge on your system, please contact a UDS representative for more information.
